Privacy at FleetSuite

Your information.
Clearly explained.

This notice explains how we handle personal information when you visit the FleetSuite website, request a demonstration or contact our team.

Who is responsible?

FleetSuite is a trading name of Nationwide Commercials Ltd, registered in England and Wales under company number 12563359. Nationwide Commercials Ltd is responsible for the personal information covered by this notice.

Registered office: Great North Road, Bawtry, Doncaster, England, DN10 6AB.

ICO registration: ZA765630.

Privacy enquiries: hello@fleetsuite.co.uk. Please mention privacy in your message so we can direct it to the right person.

What information do we use?

We use the details you submit: your name, email address, business details where requested, interests and enquiry message. Some forms also ask about fleet size, dealership locations, maintenance arrangements or your proposed Engine application.

Required fields are marked on each form. Business name is optional on the Engine project form. You can leave optional fields blank. We keep the correspondence needed to respond, along with the enquiry type and originating page.

The enquiry service uses a signed, short-lived form session and a request reference to protect submissions and recognise retries. Abuse controls use a keyed value derived from your connection address. This is a pseudonymous identifier, not anonymous data. Operational records include submission time and email-delivery status.

If you accept optional analytics, Google Analytics measures page visits, enquiry journeys, resource downloads and email-link clicks. We do not send form answers, names, email addresses, free text or enquiry references as analytics event parameters. Hosting and security providers also process connection and request information to deliver and protect the website.

Why do we use it?

Purposes and lawful bases
PurposeLawful basis
Respond to enquiries, arrange demonstrations and discuss your requirementsLegitimate interests: responding to people who contact us and managing prospective business relationships. Where you ask us to take steps towards a contract with you personally, we rely on those pre-contract steps.
Protect the website, prevent abuse and investigate delivery or technical problemsLegitimate interests: protecting visitors and our systems, and making sure requested communications reach us.
Meet legal duties, including handling data-protection requestsLegal obligation.
Optional website analyticsYour consent. You can withdraw it using Cookie settings.

Requesting a demonstration does not sign you up to marketing emails. We use your enquiry to respond to your request. If a separate marketing list is introduced, we will explain its use and your choices separately.

Who can receive your information?

Our team handles enquiries through the FleetSuite mailbox. We use Postmark (ActiveCampaign) to deliver website enquiry emails and Google Workspace for mailbox correspondence. OpenAI Sites and Cloudflare provide website hosting; the separate enquiry service and database run on Cloudflare.

Google Analytics 4 receives optional visit and interaction data only after you accept analytics. Advertising features, Google signals, enhanced measurement and collection of granular location and device details are disabled in our configuration.

Healthchecks.io monitors the enquiry service using an empty success or failure signal and sends operational alerts to our mailbox. The signal does not contain enquiry details or visitor identifiers.

These providers process information to supply their services, including security, delivery and operational support. We may also share information with professional advisers or authorities when necessary for a legal obligation or claim.

Where is it processed?

Our providers operate internationally, so information may be processed outside the UK, including in the United States. Postmark processes enquiry emails in the United States. We do not promise UK-only processing.

For transfers outside the UK, we use applicable adequacy arrangements or contractual safeguards, including the standard contractual clauses and UK provisions in our providers’ data-processing terms. Contact hello@fleetsuite.co.uk for details of the safeguards relevant to your data.

How long do we keep it?

Website enquiry delivery and recovery records, including source-derived abuse identifiers, are retained for 30 days. Expired records are removed by the scheduled cleanup. Database recovery copies can retain deleted records for up to a further 30 days; they are used for recovery, not routine enquiry handling.

Postmark retains email content and delivery activity for 45 days under its default retention setting. Suppression records can remain longer to prevent sending to addresses that have bounced or complained.

We review inactive prospect correspondence after 12 months without contact and remove it unless an ongoing relationship, legal obligation or claim justifies keeping it. Our team manages this mailbox review. Active customer correspondence is considered separately.

Google Analytics user and event data is configured for two-month retention without resetting the period on new activity; aggregated reports are handled separately by Google. Cookie choices last 180 days. The cookie notice lists the separate browser-storage lifetimes.

We retain security and operational records only as needed to investigate faults, protect the service and meet applicable obligations. Our enquiry service logs aggregate delivery health rather than message content.

Your choices and rights

Depending on the circumstances, you can ask to see, correct or erase your personal information, limit its use, or receive a portable copy where that right applies. Where we rely on consent, you can withdraw it without affecting the lawfulness of earlier use.

Your right to object you can object to processing based on our legitimate interests. You can object to direct marketing at any time.

Contact hello@fleetsuite.co.uk to exercise a right or raise a privacy concern. We may need information to confirm your identity. You can also complain to the Information Commissioner’s Office at the ICO complaints service; you do not have to complain to us first.
